You are able to move all of the files on your I: drive to your OneDrive. This makes ALL of your files accessible from ANY device (computer/tablet/phone). You will even be able to edit your files if you are on a computer that does not have Word/PowerPoint/Excel installed. Please make sure you read this article all the way to the bottom. There is critical information in the last paragraph.

You may also sync the document library from ANY document library to which you have access. Simply look for the Sync icon in the upper right of the screen and use these instructions to sync those files to your computer.

Login to Office 365. If you need help, refer to this article: http://www.gcschools.net/tech/bb/viewtopic.php?f=91&t=363

Click OneDrive in the menu bar near the top of the screen:

Find the Sync icon in the menu bar near your name and click it:

A dialog box will appear. Click Sync Now. You should already have the program you need for this on your machine if you have Office 2013 installed. If not, you may follow the link at the bottom of the dialog box. If prompted, you want the 32-bit version of the program:

After a moment, a cloud icon will appear on your system tray. The picture below shows both of the icons. You may double-click on either one.

The next screen will ask for your email address. Enter your full email address and click next:

You will be prompted for your password. Enter it and press Sign in:

The next screen shows where your files are going to be synced. If you are logged into the machine as yourself, this should be correct (the red arrow in the photo below). If you are not logged into the machine as yourself, you should NOT synchronize your files. If the folder shown is correct, click Sync Now:

You will see a screen telling you this won't take long:

When the process completes, you will be invited to see your files:

When the process completes, we need to make sure the OneDrive icon is always visible. As files are being synced to or from the cloud a bar will scroll under the cloud. You may also double-click the tray icon to open the folder on your computer containing these files. Anything you put in this folder will be synced to your OneDrive and anything you put on your OneDrive will be placed in this folder.

Click the triangle near your clock and then click Customize:

The next step is to copy the files on your I: drive to your OneDrive.

Click the Start button on your computer and select either Computer or My Computer:

Click the window containing your OneDrive. If it is not visible, double-click the cloud icon to make it visible. We strongly recommend you create a folder named Documents and copy your files into that folder to make organization easier. Once your OneDrive window is visible, double-click the Documents folder (if you do not have a Documents folder yet, simply click New Folder in the menu bar near Organize and create a folder named Documents).

Once you are in the documents folder, click the Organize menu and select Paste:

The files will begin syncing. You will see icons on your files/folders indicating they are syncing (or synced). A green check means the file is synced. A blue round arrow means it is syncing:

If there are any errors, the application will warn you. The OneDrive icon will also have an exclamation mark on it. Correct any errors and the file will automatically sync. The most common errors are illegal characters in the file name. You may NOT use the following characters in a file name: \ / : * ? " < > | # { } % ~ &. Also, a file name cannot end with a period.

The maximum length for the path to your file must be less than 260 characters (for example: c:\documents\my document\another folder\larrys files\myfile.txt is 63 characters long - every character - including spaces - counts). The file name itself must be less than 128 characters (if you have a file name that long, we need to talk!). If you have questions about path and/or file name lengths, please speak with your building technology leader or a member of the Central Office technology team.

If an error occurs, you will see the following:

You may also see an arrow icon with a red "X":

This icon may be hidden. If so, click the triangle mentioned above (near the clock), find the up arrow icon and double-click it. It will explain the problem with each file:

In the folder containing your OneDrive, find the file (it will be easy to find files with problems; they and/or the containing folder will have a red "X" on it. Right-click the file and rename it to remove any illegal characters:

Once the error is corrected, the file will automatically be synced to your OneDrive:

21-ErrorResolved.jpg
21-ErrorResolved.jpg [ 7.88 KiB | Viewed 28472 times ]

Once all errors are resolved, your OneDrive is now synced with your computer and will remain in sync. If you change a file while you do not have Internet access, once your machine has Internet access, it will automatically sync any changes you made.

Don't forget, you can access your files on any Internet connected device even if the machine, or device, does not have Office 2013 installed!

Once you have synced your I: drive to your OneDrive DO NOT save files to your I: drive anymore! Once the cutoff date has passed, we will remove the I: drive from your computer. Until that time, always save files to this OneDrive folder on your computer.
